Executive Assistant to the Chairman (PT)

We are looking for an Executive Assistant to the Chairman with high levels of energy and passion for all things Ann Summers. This role will also provide support to our Senior Leadership Team enabling them to focus on fulfilling and delivering our Vision.
Summary of Key Activities:

* Diary Management: Maintains Chairman’s appointment schedule by planning and scheduling meetings, conferences, teleconferences and travel – producing itineraries for travel away from Head Office & Home
* Team Management: Efficient and effective management of the Chalet team and external chauffeurs including arranging the domestic staff remuneration, monitoring holidays and team cover. Manage Groundsman and gardeners to ensure Head Office Gardens are proactively maintained and grounds are improved year-on-year
* Executive Level Support: Provide high-level executive support, including preparing reports, presentations, researching & analysing data where required. Maintain confidence and protect operations by keeping information confidential. Assist Chairman by accompanying on certain business trips, minuting meetings or other ad hoc requests. When required, represent the Chairman by attending meetings in their absence
* Administration: Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents (RSVPS, e-mails etc)
* Office Management: Manage filing systems for The Chairman’s office including, utilising filing to include annual file archiving & retrieval systems & recording meeting discussions. Manager
* Charity: Manage The Chairman’s personal Charity associations plus the company wide Charity strategy and activity.
* PR/Brand: Ensure The Chairman’s Website is updated accordingly and that it constantly evolves to maximise public interest. Proactively manage & maximise the Chairman’s public profile using his social media platforms to engage followers & update on news. Assist The Chairman with his autobiography updates, re-writes new chapters plus Amazon Kindle management via the KDP account. Liaise with external writers as required.
* Football: Effective management of the WHFC & FA relationship including; Board meeting attendance & packs, foundation relationships, guest list management & guest attendance ensuring all relevant information is sent to guests. Liaise with the Premier League regarding Board meetings and with other Football Clubs as required.
* Fleet Management: Manage Chairman’s fleet of cars, including servicing, repairs, MOTs, insurance renewal (in line with company insurance) and personalised registrations (including those on retention)
* Event Management: Work with the Household PA to plan and execute events for the Chalet including NGS Open Days, family dinners and parties. Plan and support with Head Office events where required.
* Cost Management: Efficient management and control of costs at the Chalet and Head Office. Produce credit card reconciliations in a timely manner and deal with all invoices coming into the department.
* Health Management: Ensure The Chairman’s health and wellbeing by constant contact with the various health and medical advisors. Keep up to date with supplement and prescription medication as required. Assist The Chairman in having a healthy balanced diet during office hours.
* Professional Development: Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
